Exporting the data

The dashboard exports its two rankings. Everything else comes out of the screens each thing lives on: the document lists and the masters. This page says what can be pulled out and from where.

What the dashboard exports

BlockExports
Top 10 suppliersYes, to Excel.
Top 10 itemsYes, to Excel.
Counters and summariesThey have no export of their own.
The documents-by-month chartIt has no export of its own.

For the figures that do not export, the way is the filtered document list, which does export and lets you add things up in the spreadsheet.

The spreadsheet brings the full list

The charts show ten. The exports download every supplier and every item in the period, with no such limit.

It is what makes the download useful: the top ten is for looking at; the complete list, for negotiating and for finding the long tail.

It needs the date range

Both the dashboard's exports insist on the from and to dates. If one is missing, nothing is generated.

They also respect the project filtered, so you can export one project's ranking on its own.

What is exported outside the dashboard

ScreenWhat it takes with it
Document listsThe documents with their header details.
Product masterEach item's complete record.
Supplier and client mastersThe records with their details and their accounts.
Chart of accountsThe accounts.
Product categoriesThe classification tree, by kind.
External catalogueYour own trade references.
Accounting exportsFiles in Contasol, a3, Cegid or Monitor format.

The common rule for exports

Almost all of them behave the same, and knowing it avoids the wrong download:

The selection takes priority over the filter. A few rows ticked from an earlier search are the usual reason a download brings less than expected.

Watch the formats

Two problems that always turn up on opening an export in Excel:

The fix is the same in both cases: format those columns as text before saving the file.

Things that come up

What you seeWhyWhat to do
The dashboard's export button does not respond One of the filter's two dates is missing. Complete the range.
The download has fewer rows than expected Rows were ticked. Untick everything and export again.
The amount summaries need exporting Those cards have no export of their own. Export the filtered document list and add up in the spreadsheet.
The download does not start The browser is blocking it. Allow downloads from this site.
The codes look wrong in Excel The sheet treats them as numbers. Format those columns as text.
