Transferring and duplicating documents
A document uploaded to the wrong list does not have to be deleted and put in again: you transfer it to the right type. It costs nothing from your plan, because the document has already been processed.

When you need it
- Uploaded to the wrong list. The type comes from the list you upload from; an invoice put in from delivery notes is filed as a delivery note.
- The document is something else. The Not an invoice status points at documents that probably do not belong in that list.
- A document that has to be in two lists, in which case you copy it rather than move it.
The three actions
| Action | What it does | Where it was | Where it goes |
|---|---|---|---|
| Transfer | Moves the document to another type. | Gone from the current list. | Appears in the destination list. |
| Duplicate | Makes a copy. | Stays where it is. | A copy is created. |
| Duplicate and transfer | Makes the copy in the destination and moves the original. | Gone from the current list. | The copy appears. |
On one document
- Open Transfer/Duplicate from the document's row.
- The dialog shows the document and its current type.
- Choose the action: transfer, duplicate, or duplicate and transfer.
- Choose the destination type.
- Confirm.
The application confirms what happened, naming the type the document was moved or copied to.
On several documents
With several documents ticked, the dialog works on the whole set. Before it runs, it says outright how many documents are about to move to the destination type, or how many copies are about to be made.
When it finishes it tells you how many were transferred or duplicated.
What it costs
Transferring costs no credits. The document was processed when it arrived; changing its type does not read it again. That is why transferring always beats deleting and uploading again, which would cost you the allowance twice.
Duplicating does not reprocess the document either: it copies the data already extracted.
What it does to the Source column
A document that reaches a list by transfer shows a source of Moved, not as a new arrival. That is the figure that lets you work out where a document came from when you cannot remember uploading it to that list.
Things to watch
- It cannot be undone. A document transferred to the wrong type is put right with another transfer, not with an undo.
- Transferred documents disappear from the current list. They are not lost: they are in the destination list.
- The originals of a duplication stay where they were. Duplicating without needing to creates repeated documents you then have to clean up.
- Check the destination type before you confirm, above all when you are working on several documents.
